Connect QuickBooks Online

Connecting QuickBooks lets Alpha pull customer records and estimates so you don't have to type them twice.

  1. In the sidebar, open Admin → Integrations.
  2. Find the QuickBooks Online card and click Connect.
  3. Sign in with your QuickBooks Online account and pick the company file.
  4. Approve the requested permissions (read customers, items, estimates, and invoices).

Once connected, Import on the QuickBooks card runs a short flow: pick what to bring in (customers, items, or both), watch it land (you can leave the page; it won't stop), then tag the new items with the skills their work needs. Records already linked are refreshed rather than duplicated. From then on, Alpha keeps synced records (customers, items, and estimates) up to date in the background as they change in QuickBooks.

Send a work order to QuickBooks

You can also go the other way: push a project's work order to QuickBooks as an estimate. Open the project's Work order tab and click Create estimate. The customer has to be linked to QuickBooks first, and Alpha confirms before the first one, since creating an estimate never emails anything to your customer. After that, Update estimate opens a Review & sync sheet showing exactly what will change before it goes. If the estimate moved in QuickBooks since your last sync, Alpha says so and offers Pull from QuickBooks rather than quietly overwriting. Owners, admins, and project managers can create and sync estimates.

Admin only

Only admins can connect or disconnect integrations. Managers and technicians can see synced data but can't change the connection.
